The Documents feature allows teams to upload and manage files such as registration forms, player identification, contracts, or any other documents required by the tournament organizer.

Documents for Teams#

Accessing Documents#

  1. Log into the Team Panel
  2. Click Documents in the sidebar

Document Limits#

The page header shows:

  • Number of documents currently uploaded
  • Maximum documents allowed (default: 10)
  • Remaining upload capacity

Uploading Documents#

  1. Click the Upload Document button
  2. Select your file
  3. Enter a Filename (required) - A descriptive name for the document
  4. Add a Description (optional) - Notes about the document's content
  5. Click Upload

Supported File Types#

The following file formats are accepted:

  • Documents: PDF, TXT, DOC, DOCX
  • Spreadsheets: CSV, XLS, XLSX
  • Images: JPG, PNG, GIF, WEBP

Maximum file size: 2MB per document

Document List#

Uploaded documents are displayed in a table showing:

  • Filename (searchable, sortable)
  • Description (expandable if truncated)
  • Uploaded by - Who uploaded the document
  • File Size - Document size
  • Type - File type with color-coded badge:
    • Red badge for PDFs
    • Green badge for images
    • Blue badge for other documents
  • Upload Date (sortable, newest first)

Downloading Documents#

Click the Download button next to any document to download or view it. Files open in a new browser tab.

Deleting Documents#

You can delete documents that:

  • You uploaded yourself
  • Were uploaded within the last 30 minutes

To delete:

  1. Click the Delete button (trash icon)
  2. Confirm the deletion

After 30 minutes, documents become permanent and cannot be deleted by teams. Contact the tournament organizer if you need a document removed.

Bulk Deletion#

To delete multiple documents:

  1. Select documents using the checkboxes
  2. Click the Delete bulk action
  3. Confirm the deletion

The same restrictions apply (your uploads only, within 30 minutes).

Documents for Organizers#

Upload Notifications#

You can receive an email every time a team manager uploads a document.

Configure notifications in Team Panel Settings under the Document Upload Notifications section:

  • Enable Notifications — Turn email notifications on or off.
  • Notification Email Addresses — Up to 3 email addresses. Type each address and press Enter. The notification is sent to every recipient on every upload.

Each email includes the document name, team name, uploader, file size, and description. A View in Dashboard button opens the team's page where you can review the document.

The notification is sent in your tournament's configured language.

Reviewing Documents#

Access team documents through the admin panel to:

  • View all documents uploaded by teams
  • Download documents for review
  • Track which teams have submitted required documents

Communicate Requirements

  • Tell teams what documents they need to submit
  • Specify naming conventions if needed
  • Set clear deadlines via announcements

Monitor Uploads

  • Enable email notifications
  • Regularly check for new uploads
  • Follow up with teams who haven't submitted

Best Practices for Teams#

Before Uploading#

  • Check requirements - Know what documents are needed
  • Prepare files - Ensure files are the correct format and under 2MB
  • Name clearly - Use descriptive filenames

When Uploading#

  • Use clear names - Name documents so the organizer knows what they are
  • Add descriptions - Explain the document's purpose if not obvious
  • Upload early - Don't wait until deadlines

File Preparation Tips#

For PDFs:

  • Compress large PDFs before uploading
  • Ensure text is readable
  • Consider combining related pages into one document

For Images:

  • Resize large images to reduce file size
  • Use good lighting for photos of documents
  • Ensure text in images is readable

For Spreadsheets:

  • Use CSV for simple data
  • Use XLS/XLSX for formatted tables
  • Remove unnecessary data before uploading

Organizing Uploads#

  • One document per file when possible
  • Use consistent naming (e.g., "PlayerID_JohnSmith.pdf")
  • Include dates in filenames if relevant (e.g., "Contract_2025.pdf")

Troubleshooting#

"File too large" error#

Reduce file size:

  • Compress PDFs using online tools
  • Resize images
  • Split large documents into parts

"Unsupported format" error#

Convert to a supported format:

  • Convert other image formats to JPG or PNG
  • Convert other document formats to PDF

Can't delete a document#

If over 30 minutes have passed, contact the tournament organizer to request deletion.
