Verifying Players

Accreditation is the moment you look at a player and decide they are who the club says they are. The problem afterwards is keeping it true: if the club can still edit the name and date of birth you just checked, your tick means nothing by kick-off.

Verifying a player records that you checked them, and freezes their details against further changes by their team manager. You keep full control — verification stops the club, not you.

You have to switch it on first. Under Team Panel → Settings → Permissions, set Roster editing to Locks player by player (or the combined mode with a deadline). Until you do, the approve control is not shown anywhere — a tick that freezes a club out of their squad should not exist on a tournament whose settings say rosters are open.

Verification is available on every plan.

Verifying a Player#

  1. Open your tournament's admin panel
  2. Click Teams & Players and open a team
  3. Go to the Players tab
  4. Click Approve at the end of a player's row

The button turns green and reads Approved, a badge appears next to the player's name, and the counter in the card header moves — for example "3 of 25 approved". That counter is the number worth watching during accreditation week.

Click Approved again to undo it.

You can also see the progress without opening a team: the Teams & Players list shows an approved count per club, and a team's Overview tab carries it as a card.

Verifying a whole squad#

Accrediting 25 players one row at a time is nobody's idea of an afternoon.

Approve all sits in the roster header and approves everyone still outstanding. It appears only while somebody is outstanding, and it leaves players you have already approved exactly as they are — so a correction a colleague made last week is not restamped with today's date and your name.

To approve part of a squad instead, tick the checkboxes down the left of the roster and use Approve in the bar that appears. Undo approval is next to it.

Who can verify#

Approving edits a player, so it needs the update players permission. Staff without it do not see the button at all — a control that silently does nothing is worse than no control.

A tournament you have marked as finished cannot be approved or un-approved.

What Changes for the Team#

The player's manager can still see everything. What they lose is the ability to change it:

  • The player's Edit window opens read-only, explaining "This player has been verified by the organiser and can no longer be edited.", with a Close button instead of Save changes
  • Delete is greyed out for that player
  • A green tick appears in the Verified column of their roster, so they can tell at a glance which players are settled
  • Every other player on the roster stays fully editable

Spreadsheet imports respect it too: a manager's upload that would overwrite a verified player is refused for that player.

Documents#

This is the part worth being precise about, because verification usually rests on a document.

  • The manager can still upload documents for a verified player. Paperwork keeps arriving after a squad is settled, and blocking that would just create work for you.
  • The manager cannot delete the player's existing documents. Otherwise the ID scan you accredited against could be swapped for a different one while the tick stayed green.

What Does Not Change for You#

You can edit a verified player exactly as before — correcting a misspelled surname or a wrong shirt number is a normal thing to need after accreditation.

Verification survives your edits. The tick does not fall off because you fixed a typo. That is deliberate, and it is why the trail below matters: the tick stays put, so the record of what happened around it has to be visible.

The Record#

Every verification and un-verification is written to the team's Recent activity feed on the team's Overview tab, naming who did it and when — "Player verified: Ana Silva · 16 Sep 2026 · 11:30 · Maria Santos". Hovering the tick shows the same thing.

Times in that feed are shown on your tournament's timezone, not the server's.

If a club later disputes an accreditation, that feed is the answer: it shows the verification and any edits that followed it, in order.

If You Change the Mode Later#

Switching Roster editing away from an approval mode does not delete anything. Every approval you made is still recorded, and still shows in the team's activity feed.

What stops is the freezing: clubs can edit those players again, because the rule that locked them is no longer the tournament's policy. Switch back and the same players are frozen again.

That is deliberate. A tick left enforcing a policy you have moved on from would lock clubs out of their own squads for a reason nobody could find on the settings page.

Staff Are Not Verified#

Verification applies to players only. Staff carry no eligibility risk and are not checked against an ID at the gate.

Staff are still covered by the roster deadline and lock, which freezes the whole squad list including coaches.

Next Season#

Verification does not carry over when you start a new season or clone a tournament. Last season's accreditation says nothing about this season's squad, and inheriting the ticks would lock every club out of a roster nobody had actually checked.

Verification and the Deadline#

The two work together and answer different questions:

A verified player stays frozen whether or not a deadline exists.
