Registration Form

Last updated: October 6, 2026

The Registration form page holds everything about how teams sign up: when the form is open, what it asks, and the lists your sales team works with. It sits next to Candidates in the Sales group of the sidebar, so the settings live beside the leads they produce.

Coming from the Website Editor? Registration settings used to be switches on the Website Editor's Registration tab. They moved here. The Website Editor keeps only how the page looks on your site — menu item, QR code and description — plus a card showing whether registration is open, with a link to this page.

Availability#

  • Open registration — the master switch for the public form.
  • From / To — optional dates. Leave them empty to keep the form open until you switch it off. Dates follow your tournament's time zone.
  • Notification email — who is told when a new sign-up arrives.

A line at the top says what is live right now ("Open until 15 Feb", "Closed", "Opens on 1 Mar"), and Open public form shows exactly what clubs see.

Fields#

Every field on the form has one of four levels:

Level On the public form In Studio
Off Not asked Not shown
Internal Not asked — teams never see it Your staff fill it in on the lead
Optional Asked, can be skipped Shown
Required Asked, must be answered Shown

Team name, contact name and email are always required. The other fields:

  • Phone, Country, Logo, Message and Additional information.
  • Division — let the club pick what it is entering. Only offered when you run more than one division; if you use division groups, clubs pick the group first, then the division (the second step appears only when the group has more than one).
  • Source — "How did you hear about us?" The club picks from your public sources (see below). If you don't ask, website sign-ups are filed under Website.
  • Number of people — players, staff and companions, each counted separately. Per-person prices multiply by the total.
  • Travel dates — arrival and departure.
  • Billing details — legal name, address and VAT number. They print on booking forms in a "Bill to" block.
  • Payment option — the options teams choose from (for example "Bank transfer" or "Instalments"), each with an optional description.
  • Terms — a consent checkbox with your own label and a link. When a club ticks it, the time and the exact wording are stored on the lead.

A few fields only make sense coming from the club, so they have fewer levels:

  • Logo and Payment option — Off, Optional or Required (no Internal: a payment choice is theirs to make).
  • Terms — Off or Required. Consent can't be optional, and you can't give it on a club's behalf.

Internal really is internal. An Internal field is not on the public form, not on the Team Panel and not on the public website — and a form submitted with an Internal answer forged into it is ignored.

Custom questions#

Your own questions from Custom attributes use the same four levels. Manage questions opens the list where you create them; here you only choose how each one is asked.

Sources#

Where your leads come from: Website, Email, Agent / partner, Returning team, Event / fair, Referral, Social media — rename them, add your own, reorder them, or archive ones you no longer use.

  • On public form decides whether clubs can pick that source themselves. "Agent / partner" is usually one you set, not one a club claims.
  • Website is a system source and can't be archived: it is what a public sign-up is filed under when the club doesn't say.
  • The counts show how many leads use each source. Conversion by source is on the Candidates page (Breakdown → Source) and, season against season, on the Seasons page.

Lost reasons#

Why a deal didn't happen: Price, Dates don't suit, Chose another tournament, Travel / visa, Not enough players, No response, Other. A reason is required whenever a lead is marked Rejected or Withdrawn — from the row, the lead page, a bulk action or the API — so the Breakdown → Lost reasons report is always complete.

Sources and lost reasons save as you edit. If your tournament is part of a series, both lists are shared across its seasons: rename "Agent / partner" here and it is renamed in every season.

Default package#

What a team costs before a booking form exists. MyCup uses it to estimate every lead's value: flat fees as they are, per-person fees × the team's number of people.

  1. Add fees from your fee catalogue for Every team.
  2. Optionally, Add price for… a whole division group or a single division, when they cost differently (U8 is cheaper than U19).

The most specific price wins: a division's own price, then its group's, then the price for every team. Each level replaces the next as a whole, and each shows what 20 people would cost so you can check it at a glance.

The default package is per season — next season's prices are rarely this season's. Any single lead can still be priced differently with Customise on its lead page.

The default package is money: it needs a plan with Finances and the update finances permission. On other plans the section shows what it would look like, with a link to the plans.

Who can change what#

  • View candidates — see this page.
  • Update candidates — change availability, fields, custom questions, sources and lost reasons.
  • Update finances (on a plan with Finances) — change the default package.

Saving clears your public website's cache, so the form changes as soon as you press Save changes.
