Sales Pipeline (Candidates)

The Candidates page is your sales pipeline. Every team that shows interest — through your website form, an email, an agent, a fair or a returning-team call — goes in as a lead, and you follow it until it converts or is lost.
You find it under Sales → Candidates in the sidebar, next to the Registration form that controls what your public sign-up asks.
What needs a plan with Finances? Everything about money: values, totals in €, packages, booking forms, collected amounts and the revenue line of pacing. On other plans those blocks show their layout with a link to the plans, and no figures. Sources, owners, follow-ups, the activity log, lost reasons, headcounts, conversion % and pacing by number of teams work on every plan.
Adding leads#
- Add candidate — name, contact, email, phone, country (type to search), division, source, owner (you, by default), number of people and the next follow-up. With Finances you can also type the group's expected revenue if you already know it.
- Public registration — sign-ups from your website arrive as Pending leads. What the form asks is set on the Registration form page.
- Spreadsheet — import a list from an agent or a fair. Source, owner, follow-up, headcount, travel dates, billing and expected revenue have their own columns. See Importing from a spreadsheet.
- Returning teams — the Seasons page lists clubs that played last season and haven't registered yet, with Add as lead.
Every lead records when it came in: the date shows on its row, and the Created filter narrows the list to a period.
What a lead is worth#
A lead's value is worked out for you, in this order:
- Booking form — once the lead has a booking form (draft, sent or accepted), its total is the value.
- Expected revenue — otherwise, an amount you typed for the group (on Add candidate, the lead page or an import). Use it when a deal is agreed before the prices are set up.
- Estimate — otherwise, the default package × the team's number of people.
A small label beside the amount says which one it is: Estimate, Manual, Draft, Sent or Accepted. A lead with nothing to value shows a muted dash — hover it for where to set prices. A ⚠ hint appears when a per-person price is waiting for a headcount, or when a booking form is in another currency (it is then kept out of the totals).
The summary#
The strip at the top adds up whatever the list is showing:
- Leads and Conversion — converted out of decided (converted + lost), never out of all leads.
- Pipeline — the value of open leads.
- Confirmed — converted leads and accepted booking forms.
- Collected — paid minus refunded, from Finances.
- Lost — rejected and withdrawn leads.
Every filter applies, so "U12 · Portugal · Agent / partner" gives you that slice's pipeline in one click.
Breakdown splits the same totals by Status, Division (or your own word for it), Country, Source and Lost reasons, with conversion per row — the Source tab is where you see which channels bring paying teams. Pacing plots confirmed teams (and revenue) by days before kick-off against your previous seasons; set the tournament's start date to use it.
Filters and sorting#
Open Filters to narrow by status, division, country, source, owner (Me, Unassigned or a person), follow-up (Overdue, Today, This week, None), created date, value source, lost reason, and — when the Team Panel is on — leads with or without team managers. My follow-ups is a one-click shortcut to your own leads that are due.
Sort by review queue, next follow-up, newest, value, name or last activity.
Owners and follow-ups#
Each lead can have an owner — the person on your team who handles it — and a next follow-up date. Overdue follow-ups are marked in red on the list. Your Studio dashboard shows a Follow-ups due card, switchable between Mine and Everyone. Follow-ups are in-app only; MyCup doesn't email them.
The lead page#
Open a lead with Manage. Its Sales tab holds:
- Activity — log a call, email, meeting or note, and set the next follow-up in the same step. The timeline also shows what happened on its own: status changes, owner changes, booking forms, payments and reminders (money events only for people who may see money).
- Value — the package lines behind the estimate, Customise to price this one team differently (add or remove fees, change a per-person quantity, or reset to the default), the Expected revenue field, the latest booking form and what has been collected.
- Sales details — source, number of people, travel dates and billing details.
- Consent — whether and when the club accepted your terms, with the exact wording they saw.
- Create booking form — starts a draft for this lead, prefilled from its package and headcount. Pressing it again opens the same draft rather than a second one.
Moving leads along#
Statuses are your pipeline stages: Pending, Under Review, Info Requested, Approved, then Converted, Rejected or Withdrawn.
- Rejected and Withdrawn need a lost reason — from the row, the lead page or a bulk action. Reopening a lead clears it.
- Converted is final: the lead becomes a participant, keeping its booking forms, payments and team managers.
- A lost lead's booking-form charges stop counting as money to collect; they stay visible with your withdrawn clubs on the Finances page.
Tick several leads to assign an owner, set a source, set or clear a follow-up, set a status (with a lost reason for Rejected or Withdrawn), move them to a division, export them, or delete them. Ticking rows is instant; nothing is saved until you choose an action.
Team managers on leads#
When the Team Panel is on, each row shows the lead's team managers (hover for all their names), and the Team managers filter finds leads with or without one. Managers never see any of the sales fields — owners, sources, values or notes are for your staff only.
Export#
Export downloads the list as it is filtered, with every sales column: source, owner, next follow-up, headcount, travel dates, billing, terms, lost reason and last activity — plus value, value source, bucket, collected and expected revenue for people who may see money. The headers match the import, so an exported sheet can be edited and imported back.
Permissions#
- View candidates — see leads and the summary (money only with view finances).
- Create candidates — add leads by hand and from returning teams.
- Update candidates — statuses (convert, reject, reopen), owners, follow-ups, sources, activities, sales details and bulk actions.
- Delete candidates — delete leads.
- Update finances (on a plan with Finances) — packages, expected revenue and booking forms.
