Payments

Team managers can see what their team owes and what has been paid, and — if you allow it — report a payment for you to approve. It is off by default: some organisers keep money between themselves and the treasurer.

Turning It On#

  1. Open Finances (from the Teams & Players header)
  2. Click the flow button in the top-right corner of the page header
  3. Tick Let team managers see their balance
  4. Choose what they may do (below) and click Save

A Payments item appears in the team panel sidebar. With the setting off, the page and its menu item do not exist for managers at all.

The same toggle also lives in Team Panel Settings, as Show Payment Balance.

Choosing What Managers Can Do#

View only — they see what they owe and what has been paid, and that is all. There is no way to report a payment, so nothing arrives for you to process. Use this when you want clubs to be able to check their balance without opening a queue of claims for yourself.

Review before processing (default) — they report a payment, it waits in review, and it does not change their balance until you approve it. The right choice when you reconcile against a bank statement, because a club's word is a claim rather than a receipt.

Processed on the spot — their payment counts immediately, exactly like one you record. Use this when clubs pay cash at a desk and the person recording it is the person who watched them pay.

Payments you record are always processed straight away, whichever mode you choose.

What the Manager Sees#

The Payments page shows:

  • Expected — everything billed to the team
  • Paid — everything processed
  • Outstanding — the difference
  • In review — reported but not yet approved, when there is any

Below that is the team's full ledger: every charge, payment and refund with its date, title and status. Payments show in green with a +, refunds in red with a , and charges carry no sign because a bill is not a cash movement.

Statuses read In review and Processed, the same words you see on your side.

Reporting a Payment#

When the mode allows it, the manager clicks Record a payment and enters the amount, the date it was paid, and an optional note and receipt. The form tells them what will happen — whether it waits for your approval or counts immediately — so the promise matches the flow you actually run.

Only confirmed payments change the outstanding balance. A manager cannot reduce what their team owes simply by saying they paid.

Approving and Declining#

Reported payments arrive for you to approve. The dashboard's Finances card links straight to them, or use the In review filter on the Finances page. Each claim shows the club, the amount, the date and the receipt, with Approve and Decline.

Declining asks you for a short note explaining why. The manager sees it against the payment, so a club whose transfer never arrived knows what to do next.

Recording Payments After the Tournament Ends#

Unlike most team-panel actions, this one stays open after the final whistle. A club settling its entry fee the week after the tournament finishes is normal, not an edge case — locking it would leave managers with a balance they can see and no way to clear.
