Premium feature. Families & supporters is part of Hospitality, available on the Tournament Premium plan.

Clubs rarely travel alone. Parents follow the squad, a few fans come along, and someone drives the minibus. None of them are on the player or staff list, but the hotel still needs their names and passport numbers, and you still have to count them for dinner.

Families & supporters gives every club one list for these people. The club fills it in on its Team Panel, you see and correct the same list in Studio, and you can seat people from it straight into the families' rooms.

Turning It On#

  1. Open Team PanelSettings and go to the Permissions tab
  2. Under What teams can manage, switch on Families & supporters
  3. Click Save in the bar at the foot of the page

A Families & supporters item appears in the team panel sidebar, under Squad, next to Players and Staff. It is off by default, and the switch only appears when your plan includes Hospitality.

You don't need the club's page to keep a list yourself. The Studio tab works either way (see In Studio).

What the Club Fills In#

Add person asks for:

Field
Full name The only required field
Relation Free text — Mother of #7, Driver, Club president
Nationality
Date of birth
Passport or ID number
Phone
Needs a bed On by default. Turn it off for someone who stays elsewhere but still travels with the team
Food restrictions Allergies, vegetarian, halal…

Only the name is required, because what you need differs from one tournament to the next. The page reminds the club that hotels ask for a passport number and date of birth for everyone staying, and marks anyone without them as Papers missing.

The list follows your roster policy: when the squad list closes, this one closes too, so a club can't add twelve parents after you've sent the hotel your numbers. You can always edit it yourself.

Putting People in Rooms#

Families are booked as their own group. In Allocation, create a group of kind Families & supporters, link it to the club and book its rooms.

Then the people on the list can be seated, by the club or by you:

  • The club, on its Accommodation page, picks them under Families & supporters in a room's Add list. Their name, nationality, date of birth, passport number and food restrictions come with them.
  • You, in Rooming lists, use Add from the club's lists… on any room.
  • Auto-fill seats everyone who needs a bed into the families group's rooms. Players go to the squad's rooms and supporters to the families' rooms, never mixed.

Each hotel card on the club's page shows which group it is for, so O-Sports FC and O-Sports FC – Families are never confused.

Add a new person in a room works too: it opens this form, adds the person to the list and seats them. People in an imported rooming sheet are added to this list too. If someone with that name is already on it, MyCup links to them instead of adding a duplicate.

The list and the room stay in step. Fix a passport number on the list and the room shows it; type it into the room and the list gets it too.

How Many People?#

The group's headcount is yours, not the club's. When you open a families group in Allocation, MyCup shows what the club declared, for example Club declared 8 people · 6 need a bed, with buttons to use either number. Nothing is changed until you choose. Some tournaments count families without a bed for meals and transfers and some don't, so that choice stays with you.

In Studio#

Open a team in Teams & Players and go to the Families & supporters tab. You can add, edit and remove people there, including after the squad deadline, and see which hotel each person is in, or No room yet.

The tab is there whenever your plan includes Hospitality, even with the club's page switched off. Use it when the details reach you by phone or email.

Privacy#

Passport numbers are encrypted in the database. Passport numbers, food restrictions and phone numbers are deleted automatically after the tournament, together with the rooming lists. See Rooming lists.

Each club sees only its own list.
