Roster Change Notifications

The Roster Change Notifications feature sends tournament admins a daily email summary of every player and staff change made by team managers through the Team Panel. It keeps you informed about who's been added, edited, or removed across all teams — without you having to check each team individually.

What's Included#

The digest only tracks changes made via the Team Panel (the portal for team managers). Roster edits you make yourself in the admin Dashboard are not included — there's no reason to email you about your own work.

Each digest is grouped by team and shows:

• Players added — new athletes a team manager registered
• Players edited — name, number, position, date of birth, or other field changes
• Players removed — athletes the team manager deleted
• Staff added / edited / removed — same breakdown for coaches and support staff

If a team manager made no changes that day, that team is simply omitted.

When the Email Is Sent#

• The digest runs once per day at 07:00 in the tournament's configured timezone (set in General Settings).
• Only days with at least one change generate an email — quiet days produce nothing.
• The email is sent in your tournament's configured language (set in General Settings → Tournament Language).

Who Receives It#

Every user with admin access to the tournament receives the digest. You can see and manage that list under Tournament Users → Admin Users.

Enabling or Disabling#

This feature is enabled by default when Team Panel is turned on. To control it:

1. Open Team Panel → Settings
2. Scroll to the Roster Change Notifications section
3. Toggle Send daily roster digest on or off

The toggle takes effect immediately for the next scheduled send. Changes already captured for today will still be included in the next morning's digest if you re-enable later (rows are only marked sent once the email goes out).

What the Email Looks Like#

The email starts with a short summary line — "Team managers in Tournament Name made N changes on Jun 8, 2026" — followed by one block per team. Each block lists the affected names under the relevant category, so a glance is enough to know what changed.

A Review Rosters button at the bottom opens the Participants page in your Dashboard, where you can verify the changes or roll any of them back.

Email History#

Like every system email, the roster digest is logged. You can find every sent copy under:

• The Tenant Resource → Sent Emails tab in the admin panel
• Each User Resource → Sent Emails tab for the specific recipient
